Version 3 — Automated Workflow Notifications

Notify User v3 integrates with the native Business Central Workflow Engine. Any workflow event can now trigger multi-channel notifications automatically.

Workflow-Driven Notifications

Notify User registers as a custom Workflow Response in the BC workflow engine. Set up a workflow event (sales order released, vendor record changed, approval completed) and have Notify User automatically create User Tasks, send emails, and post Teams channel messages.

No code required. Configure everything through the standard BC Workflows page or use pre-built templates.

Workflow-created tasks support all existing features: read receipts, claim workflow, Source Notes FactBox, Go To Source Record, and sent notifications tracking.

Version 2 — Team Collaboration

Notify User v2 added multi-recipient notifications, Microsoft Teams integration, read receipts, and a complete sent notifications dashboard.

Multi-Recipient Notifications

Send the same notification to multiple users at once. The notification dialog includes a Recipients list where you can add as many users as needed. Each recipient gets their own independent User Task.

You can also assign a User Task Group in addition to individual recipients.

@Mention Auto-Detection

Type @username in a note and Notify User automatically detects the mention and pre-fills the recipient list. Works with both exact User Names and partial Full Name matches.

Priority and Due Dates

Each notification can have a Priority (Low, Normal, High) and a Due Date. Priority defaults to Normal. Overdue tasks are highlighted in the task lists.

Microsoft Teams Integration

Notify via Microsoft Teams using two complementary methods. Available with the Plus subscription.

  • Group channel webhooks - Configure a webhook URL on each User Task Group to post notifications to a specific Teams channel using Power Automate Workflows

  • Individual DMs - Individual recipients receive a pre-filled Teams direct message that the sender reviews and sends. Multiple recipients are combined into a single group chat

  • Combined delivery - When both a group and individual recipients are selected, the group gets a channel message and all individual recipients get a combined Teams chat

Read Receipts

When a recipient opens a task for the first time, a Viewed At timestamp is recorded automatically.

  • The timestamp is set only once (first view)

  • Only the assigned recipient triggers the read receipt

  • The sender opening their own task does not trigger it

Sent Notifications Dashboard

A new My Sent Notifications list shows all open notifications you have created. Access it from the User Tasks Activities cue on your Role Center.

Claim Workflow

Group tasks can be claimed by individual members. The task is reassigned to the claiming user, the Original Group is preserved for reference, and the group assignment is cleared.

Source Notes FactBox

The User Task Card includes a Source Notes FactBox showing all notes attached to the original source record. View existing notes, read full text, and add new notes without leaving the task card.
